Meetings on contacts and deals, with statuses, assignment and calendar views.
Booking a meeting
An appointment always belongs to a contact, and optionally to one of that contact's deals. It has a title, a start time, an end time (or a duration in minutes, which sets the end for you), a location and an assignee.
If you link a deal, it must belong to the same contact — the form will not let you attach someone else's deal by mistake.
Status
Appointments move through three states:
- Pending — the default for a new appointment.
- Confirmed — attendance agreed. Calendly bookings arrive already confirmed.
- Cancelled — called off. Cancelling keeps the record and its history rather than deleting it.
Who it belongs to
If you do not pick an assignee, the appointment inherits the contact's owner; if the contact has no owner, it falls to you. Displays prefer the appointment's own assignee and fall back to the contact's.
Members see only appointments assigned to them. Admins and above see everything in the account. This applies everywhere — the list, the calendar, the agenda, and the panels on contact and deal pages.
Views
- List — sortable and filterable, with upcoming and past filters.
- Day, week, month — time-bucketed views of the same data.
- Calendar — everything plotted by start time, coloured by the linked deal's stage.
- Agenda — a today or this-week rundown on the dashboard.
The view you pick on a contact or deal page is remembered when you come back.
Notifications and history
Creating or cancelling an appointment notifies the assignee — or everyone active, if it is unassigned. Every create, update, cancel and delete is written to the parent contact's and deal's timeline.
