The people database — duplicate protection, phone normalization, assignment and search.
What a contact holds
Name (required), email, phone number with an international dialling code, address, an avatar, and any custom fields your account has defined. Each contact also has an assigned user who owns the relationship, and records who created it.
Duplicate protection
Within your account, email addresses and phone numbers must be unique. This is enforced by the database itself, not just the form, so two people importing the same lead at the same moment cannot both succeed.
Phone numbers are normalised on save using your account's default country. That means a number saved as
(555) 010-9999 and one saved as +15550109999 are recognised as the same number.
Assignment
Anyone can create a contact, but a member can only create one assigned to themselves. Only admins and above can reassign an existing contact to someone else. Assignment changes notify the new owner, unless they assigned it to themselves.
Searching
The search box in the top bar matches a contact on:
- name, email or phone — including partial matches and near-misses on spelling;
- the digits of a phone number, ignoring spaces, brackets and dashes;
- the value of any custom field.
With the search box empty it shows the last ten contacts you opened. For anything more precise, use the advanced filter builder on the contacts list.

Tabs across a contact record:
- Opportunities — every deal for this contact, sortable and paginated.
- Appointments — meetings, in list, day, week or month view.
- Comments — team discussion with @-mentions.
- Files — files on this contact and on any of its deals, in one list.
- Conversations — email threads, if Gmail is connected.
- History — every change ever made, with who made it and when.
Deleting a contact
Deleting a contact also deletes its opportunities, appointments, comments, files and conversations. There is no undo, so the action asks for confirmation first.
