Connect Gmail to send, receive and thread mail against your contacts.
Connecting Gmail
In Settings → Integrations, connect Gmail either as yourself — mail sends from your own address — or for the whole account, as a shared mailbox. You will be asked to grant access in a Google window; access tokens are encrypted at rest and refreshed automatically.
Disconnecting deactivates the connection. Your existing mail history in the CRM is kept.
Sending
You can write an email from a contact's Conversations tab, from the deal drawer, or from the inbox. Messages go out through Gmail itself, so they appear in your Sent folder and reply properly. Copy and blind-copy recipients are supported.
Sending an email is recorded on the contact's activity timeline, including the recipient and subject.
Receiving
Connected mailboxes are checked every few minutes. New replies in a thread the CRM knows about are pulled in, attached to the same conversation, and shown in the inbox. Quoted text from the message being replied to is stripped, so a long thread stays readable.
An inbound reply notifies whoever sent the last outgoing message in that conversation, and appears in their browser without a refresh.
Threads and conversations
Mail is organised two ways at once:
- The inbox — one row per thread, newest first, searchable by subject and sender.
- Conversations — threads attached to a specific contact, on that contact's record.
Who can see what
Admins and above can see all of the account's mail. Members see only conversations they started or have participated in, and can only send into those. This applies to the inbox as well as contact pages.
Attachments
Attachments on received mail are stored and downloadable from the message.
