Calendly

Turn every booking into a contact, a deal and an appointment automatically.

Connecting

In Settings → Integrations, choose Connect on Calendly and approve access. The CRM then subscribes to your booking events automatically.

Next, pick which event types should reach the CRM. Only bookings of those types create records — so an internal one-to-one does not turn into a sales opportunity.

When someone books

A booking of a selected event type does four things:

  1. Finds or creates the contact, matched on the invitee's email address.
  2. Assigns the contact to the CRM user whose email matches the Calendly host — but only if the contact does not already have an owner, so a manual assignment is never overwritten.
  3. Reuses the contact's most recent open deal, or opens a new one in your first open stage with its source recorded as Calendly.
  4. Creates a confirmed appointment with the meeting's join link as its location, assigned to the host, and notifies them.

Cancellations

When an invitee cancels in Calendly, the matching appointment here is cancelled too and the assignee is notified. The record is kept rather than deleted, so the history stays intact.

Disconnecting

Removing the integration revokes the access token and removes the booking subscription, so no further bookings reach the CRM. Records already created are unaffected.

Security

Incoming booking notifications are only accepted from Calendly's published network addresses and must carry a valid signature, checked within a short time window so an old message cannot be replayed. Access tokens are encrypted at rest.
